Set up APA 7th edition citations with BibLaTeX and Biber.
The biblatex-apa package implements official American Psychological Association referencing rules for LaTeX documents. It requires Biber as its backend and pairs with csquotes to manage punctuation and formatting automatically.
The short answer: load \usepackage[backend=biber,style=apa]{biblatex} together with csquotes and babel. Compile with Biber rather than legacy BibTeX to produce valid APA 7th edition citations and references.
Minimal working example for APA 7
Modern APA style requires three cooperating packages in your preamble: babel (or polyglossia), csquotes, and biblatex with style=apa.
Complete working document
Copy this minimal structure into your project. Make sure your references file is named
references.biband lives in the same folder as your main document.\documentclass{article} \usepackage[american]{babel} \usepackage{csquotes} \usepackage[backend=biber,style=apa]{biblatex} \addbibresource{references.bib} \begin{document} Parenthetical citations appear in brackets \parencite{smith2023}. Narrative citations place the author outside \textcite{johnson2021}. \printbibliography \end{document}
In-text citation commands in APA
The standard \cite command often formats references incorrectly under APA conventions. Use specific commands depending on how the reference sits within your prose.
Parenthetical citations with \parencite
Use
\parencitewhen the citation is appended to a statement. Both author and year remain enclosed within parentheses. You can add page numbers or prenotes via optional arguments.\parencite{smith2023} \parencite[p.~45]{smith2023} \parencite[see][chap.~2]{smith2023}Narrative citations with \textcite
Use
\textcitewhen introducing the author as part of the sentence itself. The package prints the author names as normal text and places only the year inside brackets.\textcite{johnson2021} argues that early intervention improves outcomes. According to \textcite[p.~12]{johnson2021}, the baseline shifted.Year-only citations with \citeyear
When you have already written the author name by hand in the text, use
\citeyearor\parencite*to append the year without repeating the surname.Smith showed this effect in \citeyear{smith2023}. Smith \parencite*{smith2023} confirmed this finding.
Why Biber is required instead of BibTeX
Common errors and fixes
Undefined control sequence \mkbibdateapalongextra
This error occurs when
babelis loaded without a language option or when an unusual localization is used that lacks pre-built APA definitions. Loadbabelwithamerican,british, or another major dialect beforebiblatex.\usepackage[american]{babel} % Or declare explicitly if using regional dialects: % \DeclareLanguageMapping{british}{british-apa}Warning: csquotes not loaded
APA style places commas and full stops inside quotation marks according to American typographical rules.
biblatex-apaneedscsquotesto enforce these quote-placement rules without throwing warnings.\usepackage{csquotes}Clash with apa or apa7 document class
The
apa7document class tries to loadapaciteby default, which clashes withbiblatex. Pass the option to the document class to disable the legacy citation bundle.
Structuring .bib entries for APA compliance
BibLaTeX uses newer field conventions than old BibTeX. Structuring these fields properly ensures titles, dates, and organizational authors render according to APA manual rules.
Corporate and organizational authors
When an institution is the author, wrap the whole name in double braces. Without double braces, BibLaTeX treats the organization name as a human name and prints it as 'Organization, W. H.'.
@report{who2022, author = {{World Health Organization}}, title = {Global Health Estimates 2020}, institution = {World Health Organization}, year = {2022}, }Date format and retrieval details
Use the ISO format
YYYY-MM-DDinside thedateorurldatefields. Biber decomposes this into the localized APA format automatically.@online{cdc2023, author = {{Centers for Disease Control and Prevention}}, title = {Respiratory Syncytial Virus Infection}, date = {2023-11-04}, url = {https://www.cdc.gov/rsv/index.html}, urldate = {2024-01-15}, }
Compilation workflow
| Order | Command | Purpose |
|---|---|---|
| 1 | pdflatex main.tex | Scans text for citation keys and writes auxiliary files |
| 2 | biber main | Reads references.bib, sorts entries, and formats citation macros |
| 3 | pdflatex main.tex | Integrates the formatted citations and bibliography into the layout |

Questions
What is the difference between style=apa and style=apa6?
The style=apa option implements APA 7th edition rules, whereas style=apa6 targets the older 6th edition standard. APA 7 drops publisher locations for books, includes up to 20 authors in the reference list before using ellipses, and shortens three or more authors to 'et al.' on the first citation.
Why does my bibliography stay completely blank?
An empty bibliography almost always means Biber was not executed between your LaTeX runs. If you ran bibtex main instead of biber main, the compiler silently misses the data. Check your editor build settings or run Biber manually.
